Internal HR Manager

Job Description

Accountable to: Chief Executive Officer

Base: EPM Offices, Huntingdon

Purpose of the Job

We are looking for a commercially astute, operationally and strategically minded Head of Internal HR who will be responsible for delivering a high quality and efficient Internal HR Service to EPM and its team. With the support of the Learning & Development Manager and the Internal HR team as a whole, you will ensure the policies, procedures and processes that make up EPM’s employee life cycle are highly efficient and effective and are constantly striving towards best practice. The Head of Internal HR will be specifically responsible for all ER/HR generalist matters relating to EPM employees, including Health & Safety. The individual will motivate, lead, manage and develop the internal HR team, including the HR & Recruitment Coordinator whose role it is to deliver a comprehensive processing and transactional HR service, through a combination of the Cezanne HR system and manual interventions.

Main Responsibilities/Duties of the Job

Key Responsibilities

HR Strategy

  • Working in conjunction with the CEO and the EPM Board, develop and implement an HR strategy to support the delivery of EPM’s business strategy and key objectives.

Recruitment/Manpower Planning

  • Through the management of the Learning & Development Manager, ensure the company has a recruitment strategy, policy and set of processes and templates that provide robust, effective, fast, quality recruitment across EPM, which meets the agreed workforce and budgetary requirements, which are regularly reviewed with the CEO and Finance Director.
  • In terms of the EPM’s hiring process, ensure the formal job offer, acceptance and due diligence processes are fast, efficient and effective, resulting in the timely hiring of quality recruits to EPM.
  • Where required, personally provide support with EPM’s recruitment efforts.

Employee Relations

  • Provide an effective day-to-day HR Advisory Service to EPM’s departments, Directors, Assistant Directors, Managers and colleagues, where required.
  • Lead and act as the subject matter expert to managers on both standard and complex employee relations issues, e.g. disciplinary, grievance, sickness absence, performance management, capability matters.
  • Coach and support managers on adopting good HR practice by offering effective HR advice through the interpretation of current employment and case law, best practice and employment policies.
  • Through the use of highly developed and effective communication skills, maintain excellent relationships with managers and employees in order to support meeting the company’s goals.
  • Ensure that any health and safety responsibilities outlined within company policies, procedures and arrangements are complied with at all times and undertake any H&S training to enable you and the HR & Recruitment Coordinator to fulfil your duties by promoting a positive H&S culture, including health and wellbeing initiatives.
  • Manage all absence, sickness and occupational health issues and liaise with the relevant department managers.

Performance Management

  • Develop and oversee performance management processes to support a high performing culture at both an individual and organisational level.
  • Specifically, with the support of the Learning & Development Manager, manage and deliver the annual and mid-year appraisals, including EPM’s consistency review process.
  • Support managers in dealing with poor performance issues.
  • Responsible for the creation and delivery of EPM’s succession planning processes and templates, and with the support of the Learning & Development Manager, aid Directors, Assistant Directors and Managers in developing and delivering future leaders via the succession planning process.

Learning and Development

  • Ensure the Learning & Development Manager and their team delivers high quality training and coaching, as required by each area within EPM (e.g. induction, line management, HR or Payroll service subjects, compliance matters).

Reward and Benefits

  • Lead and manage EPM’s salary and reward policies, processes and initiatives.
  • Responsible for the implementation, administration and policies relating to employee benefits e.g. Pensions, PHI & Life cover, Private Health Care schemes, BUPA cash plans, in conjunction with other EPM colleagues as appropriate.

HR Systems, Records and Information

  • Manage and maintain the Cezanne HR system i.e. personnel data/records, contract changes, sickness absence, holidays.
  • Review and update contracts of employment and job descriptions.
  • Comply with, support and enforce all of the company’s people policies and procedures.
  • Ensure the company complies with all legal obligations and is not exposed to legal action and challenge where necessary to ensure compliance.
  • Ensure employee personnel records are kept up to date, accurate and in a safe secure place, maintaining GDPR and employee confidentiality at all times.
  • Keep all necessary legal records/documentation readily available for inspection/audit or for other legal requirements.
  • Review and update all people policies and procedures, to ensure these are compliant and up to date with current and changing employment Law Legislation.
  • Manage the company’s leaver process and carry out exit interviews as appropriate.

General

  • To comply with the arrangements outlined in your contract of employment.
  • Maintain high levels of confidentiality and integrity at all times.
  • As required, lead, contribute to, or support successful delivery of all HR projects, as well as broader EPM projects
  • To react positively to any additional tasks/duties reasonably requested of you, not already mentioned above.

Internal Team and Broader Responsibilities

  • Lead, manage, coach, develop and motivate the Internal HR team, ensuring team members provide high levels of customer service and performance at all times.
  • Contribute to the sharing of good practice and knowledge amongst colleagues, as required.
  • Attend and participate in EPM Internal Operations Board meetings.
  • Be compliant with EPM employee policies and procedures.
  • Provide support for other colleagues across the business when necessary.
EssentialDesirable
Educated to degree level or equivalentExperienced in creating and managing SLAs and KPIs, as well as providing reporting against same and other forms of metrics
CIPD qualified (ideally level 7, but a minimum of level 5), or demonstrable HR generalist experience (minimum of 7 years) at Manager level (minimum of 4 years) or aboveExperience of working in the education sector
Previous experience as an HR generalist at middle/senior management level, leading and operationally managing the internal HR function of a company of 200 plus employeesExperience or knowledge of Payroll systems and processes
Experienced in leading, managing, coaching and developing HR colleagues
Strong employee relations knowledge/experience
Up to date knowledge of employment law and good employment practice
Experienced in the design, implementation and management and administration of reward and/or benefits for a constantly evolving company
Experienced in managing and using HRIS systems
